Record Keeping for Motorcycle Maintenance

For those of you who maintain your own bikes, what records do you keep other than the obvious stuff like receipts, etc.?

In my case, I originally purchased a gallon of oil and two filters, prior to changing the oil at 50 miles. Of course, I then changed the oil and filter at my 600 mile maintenance (584 miles to be exact), along with doing everything that Kawasaki listed in the service manual for the periodic maintenance at 600 miles.

I take it to the shop... and keep the reciept with my moto manual and the original contract with warentee info... There is no hiding what I had done... Though this does remind me Phil still has the paper work on Tyke's recent recovery.... Pardon me... I need to go find my s/o...

Sam, I went to an office supply store and picked up a Ledger. You want one that is bound and has non removable pages. I record all maintenance by date, milage, what i did , what I used, etc. Believe it or not, that "Log Book" becomes a legal document. For milestone maintenance such as valve adjustment, and maintenance that HAS to be done by the dealer--or a licenced MC Shop, Have the dealer or shop note the repair and annotate it with their stamp, if they have one. Those are also receipts I keep on file. The reason I mention this is that several years ago, on our way to the Bahamas, we blew our diesel inboard on our sailboat. A Yanmar shop in Nassau determined that the failure was caused by a latent manufacturers defect--and they put it in writing. We called our insurance company and they had a rep. in Nassau who looked at the engine {We already had a new engine installed) The shop in Nassau explained everything to the rep`s satisfaction. Now the insurance company had to go after Yanmar for the $$. Yanmar needed proof that the engine was properly maintained. Our insurance company submitted a copy of our Log, and Yanmar paid for a new engine--$8,500.00. I am keeping a log on my Ninjette and am saving relevant receipts. It does help to note, for instance, the torque you applied to the rear axle--as an example. An official Kawa Manual would also be money well spent--although the DIY`s on this forum are far superior to anything the manual shows. To me, it is an ok reference, but this forum smokes.

I keep my receipts in a folder and have a spreadsheet that I document all my service on. I do this for all my vehicles.

I am a huge geek I know haha

I have a folder with all service receipts. In case the papers gets lost I also have a spreadsheet in Excel that I keep as a maintenance/expense log.

I keep mine recorded in the back of my owners manual in the maintenance section. Receipts help, so keep them stashed in a gallon sized Ziploc baggie for future reference.

(Another thing with the recipts is that you can claim them as hobby expenses on your taxes... I have all Tyke's repairs, insurance, and upkeep recipts noted with my tax stuff. )

What expenses would qualify? Just routine maint. Or could you count things like an Area P system replacing a damaged stock system?

Tax treatment for hobbies
The way the tax laws treat hobbies is quite different from the way businesses are taxed. With hobbies, the general rule is that you can't take any money you spend on your hobby as a deduction. However, if you earn income from your hobby, then you're allowed to deduct hobby expenses up to your hobby income. For instance, if you made $500 from your hobby but spent $1,000 to generate that income, then you'd be allowed to deduct just $500. Furthermore, the deduction is technically a miscellaneous itemized deduction, so you must itemize to claim it. But this also means that if your total miscellaneous deductions don't exceed 2% of your adjusted gross income, you may not be eligible at all for a deduction.

http://yourgarageonline.com/ is a similar service. It's not perfect, but it works well enough for letting me keep track of how much I spend and when I spent it (both date and mileage).
